About the Program
What is the Hotel Employee Rate Program?
Hotel Employee Rate is a universal travel program created for the hospitality community. Participating hotels can give their eligible employees access to exclusive rates at an expanding international collection of independent hotels, regional groups and global brands—similar to the employee travel benefits traditionally offered by major hotel companies.
What are Hotel Employee Rates?
Hotel Employee Rates are private, highly discounted rates reserved for eligible hospitality employees. Participating properties may offer fixed destination-based rates or dynamic rates discounted by at least 40% from their publicly available rates. Review the Hotel Employee Rates page for current program structures.
Is Hotel Employee Rate an online travel agency?
No. Hotel Employee Rate is a password-protected, closed-channel B2B booking platform for participating hotels, hotel companies and their eligible members. Employee eligibility is managed by the designated Hotel Administrator at each participating organization.
How does the Program work?
Participating hotels make selected inventory available at Hotel Employee Rates, typically during lower-demand periods. Hotel Administrators then enroll eligible employees. Once approved, employees use their personal credentials to search and book participating hotels through book.hotelemployeerate.com.
Employees & Eligibility
Do employees need a hotel-company email address?
No. Any eligible hotel employee approved by their Hotel Administrator may participate, whether or not they have a company-issued email address. This helps make the benefit accessible to employees across hotel departments and roles.
How does the Friends & Family benefit work?
Eligible employees may invite up to 10 friends and family members from their booking account. Each approved guest receives personal access credentials and booking instructions. Their reservations retain the referring employee and place-of-employment information. If the employee’s eligibility ends, the connected friends-and-family accounts are also removed. Friends and family cannot add additional members or change their own registered names.
How is employee eligibility controlled?
Hotel Administrators control enrollment and are responsible for approving eligible employees. Receiving hotels see the employee’s place of employment and relevant administrator details with the reservation. Friends-and-family reservations also identify the referring employee. Because eligibility is verified within the platform, separate employee authorization forms are generally unnecessary.
How is members’ personal information protected?
Hotel Employee Rate is committed to protecting member privacy and processing personal data in accordance with applicable privacy requirements, including the GDPR. We request only the information needed to provide and manage Program access. We do not sell member mailing lists or disclose personal information for unrelated third-party marketing. Read our Privacy Policy for more information.
Hotels & Participation
Why should a hotel join the Program?
A meaningful employee travel benefit can support recruitment, recognition, retention and loyalty. Participating properties may also generate incremental, commission-free room revenue during lower-demand periods. Hotel companies with an existing employee program can use Hotel Employee Rate to complement their own network and reach eligible members from other participating organizations.
How can hotels manage rates and availability?
Hotels decide when and how they participate. The Program supports up to 150 stop-sale days per year, allowing properties to close availability over higher-demand dates. Connected hotels can manage inventory through their PMS, RMS or channel-management environment, with reservations delivered directly into their system. Where direct connectivity is unavailable, inventory and reservations can be managed through the Program extranet. Visit For Hotels for participation and connectivity information.
How does the Program protect rate integrity?
Program rates are displayed within a password-protected, closed-user environment and are not published openly. Access controls, employee verification and identifiable referral information help participating hotels protect their rate strategy and intended audience.
Can boutique hotels participate?
Yes. Boutique hotels with fewer than 100 guest rooms may qualify for the Boutique Hotel Program, which can include up to 180 stop-sale days per year and an “on request” reservation option. Contact our team to review the participation model that best fits your property.
